The Executive Assistant will provide high-level administrative support to the Advancement team at Making Opportunity Count, ensuring smooth coordination of day-to-day activities and assisting with the execution of organizational priorities. While the primary focus is on Advancement team support, this role may also involve indirect support of organizational leadership as needed.
Essential Duties & Responsibilities:
- Act as the primary point of contact for internal and external communications on behalf of the Advancement team.
- Coordinate meetings, prepare agendas and associated documents, distribute materials, and record accurate minutes.
- Draft correspondence, reports, and other documents; maintain organized electronic filing systems.
- Assist with tracking timelines and deliverables for strategic executive initiatives; provide support to ensure project milestones are met.
- Work closely with other administrative staff and departments to streamline workflows, develop or enhance systems, and support agency initiatives.
- Implement the use of productivity tools, including AI applications, to enhance efficiency and output.
- Perform additional tasks as assigned by Advancement or executive team leaders.
Required Skills/Abilities/Competencies:
- Proven experience as an executive assistant/associate.
- Strong proficiency in Microsoft Office Suite.
- Basic experience with AI tools and an understanding of their applications.
- Excellent organizational and multitasking skills with attention to detail.
- Strong written and verbal communication skills.
- Ability to organize data in a presentable format.
- Proactive problem-solver with a willingness to learn new technologies.
Supervisory Responsibilities/ Key Relationships:
- Collaborates closely with members Leadership including Chief Advancement Officer and Executive Director.
- Does not supervise employees.
Required Education and Experience:
- Associates or Bachelors degree preferred or equivalent related work experience.
