Position: Wedding Coordinator
Location: The Groton Inn | Groton, MA
Schedule: Full-Time | Flexible Schedule Required | Weekends and Holidays as Required by In-House Wedding Event Schedule
Compensation: $20.00 - $25.00 per hour
Reports To: Sales Director and Sales & Events Manager
Position Overview:
The Groton Inn is seeking a dynamic and experienced Wedding Coordinator to join our events team and ensure the flawless execution of our on-site weddings.
The ideal candidate demonstrates a keen attention to detail, problem solving skills and a passion for hospitality.
Key Responsibilities:
Wedding Event Planning:
Serve as the primary point of contact for couples, guiding them through all venue related details including tastings, initial and final planning meetings and day of coordination
Conduct follow-up tours, site visits, phone and email communication as necessary to thoroughly and efficiently answer questions in a timely manner.
Communicate clear expectations regarding venue logistics and policies.
Create and manage detailed wedding day timelines
Gather details and construct comprehensive Banquet Event Orders, Diagrams and other supporting documents to display all event information
Maintain clear and consistent communication with the Sales & Events, Banquet, Culinary, Facilities, Guest Services and other internal departments to ensure seamless execution.
Day of Coordination:
Serve as the day-of coordinator and primary point of contact for couples and their VIPSs, ensuring execution aligns with client expectations, event orders and property standards.
Lead rehearsal walk-through and contribute to pre-shift meetings, communicating key details to on-site staff
Oversee event set-up
Serve as day-of venue liaison for all vendors, confirming logistics, timelines and adherence to venue policies.
Qualifications:
Hard Skills
Wedding and event planning experience
Ability to meet the physical requirements of day-of coordination
Proficient skill in Microsoft Office programs
Experience in Delphi or similar sales/event planning program a plus
Soft Skills
Willing to work a flexible schedule based on on-site wedding planning and events
A team player, ready to step in and provide support colleagues and clients alike
Exceptional organization skills, ability to multi-task and strategically adapt to changing circumstances while maintaining calm demeanor under pressure.
