Clerk IV Student Financial Services

The Student Financial Services (SFS) Clerk flourishes in a fast-paced, student-centered environment, and has a positive, can-do attitude as a full-time employee responsible for supporting the frontline operations of the Office of Student Financial Services. This position supports students and families seeking assistance with Financial Aid and Student Accounts, ensuring all have a positive experience working with SFS department. The Clerk IV shares an enthusiastic and proactive approach to customer service and flourishes in an environment where they are able to juggle multiple projects while employing various skillsets concurrently; working closely with a diverse group of students in order to support the mission of the institution and the overall goals of increasing enrollment, retention, and graduation rates. 

Responsibilities:

  • Serve as a front-line resource for prospective, current, and former students, as well as their families, providing exceptional customer service to all parties.
  • Ability to multi-task, prioritize duties and exhibit excellent communication skills both written and verbal.
  • Assist with all inquiries in regards to Financial Aid regarding academic progress, scholarships, FAFSA preparation and submission, loan procedures and reviewing awards.
  • Assist with all inquiries in regards to Student Accounts; billing, processing payments, coordination of payment plans and account review.
  • Utilize Banner system for data entry, review of student information, and running automated processes. 
  • Accurately and consistently track all communications with students in Banner and TargetX Student Success Retention software.
  • Utilize all sub systems to perform duties, third party payment processing and plans, health insurance affiliates, third party reporting systems.
  • Maintain accurate and timely data in the student information system. Utilize reporting to ensure completeness.
  • Responsible for phone, mail, and email triage and responses.
  • Promote self-service tools among students, including web-based resources; assist with promotion of self-service tools to increase self-sufficiency and financial literacy.
  • Protect the confidentiality of student records and files within Student Financial Services.
  • Accurately prepares, mails and files documents regarding individual student bills, budget and aid for such agencies as Massachusetts Rehabilitation Commission, Department of Transitional Assistance, Housing Authorities, etc.
  • Prepares and tracks standardized forms such as verification worksheets and tax transcripts according to detailed procedures.  Routes and maintains electronic forms.
  • Represent the Department at various evening and weekend campus events including but not limited to Financial Aid and Registration Days, Orientation, and Enrollment events.
  • Perform outreach as needed to assist with department goals and completion of students financial aid files.
  • Other special projects and job-related duties as assigned.

Requirements:

Minimum Qualifications:

  • Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:

I.    A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.*

II.   A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*

III.  A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.*

IV.  A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience.*

*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

NOTE:   Educational substitutions will only be permitted for a maximum of two years of the required experience.
